Privacy Policy

Effective 13 April 2026

This Privacy Policy explains how MindLoop EDU collects, uses, and protects data. MindLoop takes a deliberately teacher-centric approach: teacher usage is analyzed to improve the platform, but student activity is not tracked for product analytics, profiling, or advertising.

1. Overview

MindLoop EDU is an educational platform for teachers and their classrooms. This Privacy Policy covers what we collect from teachers, the limited classroom data we process for students, and the rights you have over your data.

2. Teacher data

We collect and process teacher data to operate and improve the platform, including:

  • account information (email, name, optional school)
  • platform usage
  • tools and generators used
  • uploaded materials
  • feature interactions

This data is used to:

  • improve the platform
  • personalize the teacher experience
  • analyze product usage

If you sign in with Google, Google shares basic profile information (name, email address, profile picture) with MindLoop so we can create or identify your teacher account. Google sign-in is subject to Google's privacy policy at https://policies.google.com/privacy. We never receive your Google password.

3. Student data (classroom context)

Students may join classes using a code and a nickname. Students do not create accounts by default. We collect limited student data only for educational purposes, including:

  • nickname or classroom identifier
  • quiz / assessment / worksheet answers
  • score and accuracy
  • completion status
  • duration of the specific activity (used as grading context for the teacher, not for product analytics)

When a lesson uses the optional pre-lesson chatbot, we additionally store the conversation between the student and the chatbot and a short knowledge summary derived from that conversation. These are used strictly to personalise that specific lesson for that student and to show the managing teacher how the student engaged with the activity. They are not combined into a cross-lesson profile, not shared outside the classroom, and not used for advertising or product analytics.

We do NOT:

  • track student behavior across the platform
  • create cross-platform student behavior profiles
  • use student data for advertising
  • sell student data

Student data is used only for:

  • running the classroom activity the teacher assigned
  • grading and results
  • per-lesson content personalisation (when enabled by the teacher)
  • educational reporting to the managing teacher

4. No student behavioral tracking

MindLoop EDU does not collect or analyze behavioral usage data of students such as clicks, navigation patterns, or time-on-task for product analytics purposes. Student activity inside quizzes and assessments is stored only to the extent needed for the teacher to grade and review that specific activity.

5. Teacher-managed data

In classroom contexts:

  • the teacher or school acts as data controller,
  • MindLoop acts as a data processor.

Teachers are responsible for managing student data within their classrooms, including obtaining any parental or institutional permissions required by local law or their school policies.

6. Uploaded content

Teacher-uploaded materials may be processed to:

  • extract text
  • enable search
  • support AI-generated educational content

Teachers remain responsible for ensuring they have the rights to upload and share any material they submit.

7. Aggregated and anonymous data

We may use aggregated and anonymized data to:

  • understand general usage patterns
  • improve the platform
  • create educational insights

This data cannot be used to identify any individual.

8. Data security

We implement reasonable technical and organizational measures to protect personal data, including encryption in transit, password hashing, scoped database access, and routine security reviews.

9. Data retention

Teacher account data is kept while your account is active. Student classroom data is retained only as necessary for educational purposes. When a teacher deletes a lesson, quiz, worksheet, or assessment from their library, the student results, chatbot sessions, and personalised content tied to that activity are removed along with it. Schools acting as data controllers may request deletion of any classroom data under their management by contacting us.

10. No data sales

MindLoop EDU does not sell personal data of users, and does not use student classroom data for advertising or profiling.

11. Your rights

You may request access to your data, request deletion, or withdraw consent at any time by contacting us.

12. Changes

We may update this Privacy Policy. Continued use of the platform indicates acceptance of updates.
